What Notion does

Notion combines documents, databases, wikis and project tracking in one workspace, and its assistant works on that content rather than on the open web alone. It can answer questions across everything you have permission to see, draft and edit inside a page, fill database properties automatically, summarise meeting notes and build small agents that run repeated tasks. Newer additions include meeting transcription, email and calendar integration, and form and automation features. It suits teams that want documentation, tasks and knowledge in one place instead of three products. The limitations are structure and search quality: the flexibility that makes Notion appealing also lets workspaces become disorganised, and assistant answers are only as good as the underlying pages, so a messy workspace produces vague results. Performance on very large databases is also noticeably slower than in dedicated project tools.

How to use it

Sign up at notion.com; personal use is free and assistant features are included on paid plans, with limited trials for free accounts. Before using the assistant seriously, tidy what it will read: give pages clear titles, archive stale duplicates, and put reference material in properly named databases, because ambiguous sources produce ambiguous answers. Day to day, the useful patterns are asking questions across the workspace from the search bar, using inline generation to draft or restructure a page, and setting database properties that are filled automatically from page content, which saves the most repetitive work. Connect Slack, Google Drive or GitHub so the assistant can reach context that lives elsewhere. Two things to plan for: permissions govern what the assistant can see, so answers differ between team members, and large databases with many relations slow down page loads, so split them rather than letting one database hold everything. It also helps to agree a naming convention with your team early, because consistent page titles make both human search and assistant answers noticeably better.
